Conference Ticket Policy

While each conference will have its own specific registration deadlines and rules, this page outlines TSPA’s general policy on conference tickets.

Registration Deadlines

Ticket registration deadlines are determined for each conference, generally 1-2 weeks before the conference begins. TSPA generally requires 5 business days to finalize the registration list and print the name badges. (Summits may require more time as name badges must be delivered before TSPA staff travels internationally to the conference.)

After the ticket registration deadline, TSPA will not accept any more online ticket sales. Complimentary tickets will also need to be claimed by the registration date. 

Depending on the conference, on-site registration may be available. 

Exceptions
Exceptions to online ticket sales after the registration deadline will be made on a case-by-case basis. In general, online registration after the deadline will only be available to individuals who are required to be at the conference, such as speakers, volunteers or staff, or critical partners. 

Ticket Transfers

Ticket transfers are allowable if the request was made before the ticket transfer deadline. Tickets can only be transferred to another attendee who qualifies for the same registration type and discounts:

  • Registration type (member, nonmember, speaker, etc.)
  • Registration discounts (student, nonprofit or government, low- to middle- income country, etc.)

Ticket swaps without a formal registration transfer are not allowed. Per TSPA’s Security, Health, and Safety Policy, attendees at our conferences are not allowed to share their name badge. All attendees should have their own name badge. 

Member Discounts

Members can register for a registration ticket with a membership discount if they have an active membership with TSPA and they register with the email address that TSPA has on file for their membership. Active membership means that an individual has a current and “activated” membership profile with TSPA. Corporate Supporter members (members who qualify for complimentary membership because they work for a corporate supporter company) must have an active TSPA membership profile and they must use the email address that TSPA has on file for their membership in order to qualify for a membership discount on their registration fee.

New members must activate their membership profile at least 5 working days before any registration deadline in order to qualify for the membership discount. Registration deadlines include when TSPA stops selling online tickets or when ticket prices switch from early bird to standard pricing or from standard pricing to late bird. 

Membership discounts will not be retroactively applied, meaning that if an attendee registers at a nonmember rate but becomes a member at a later date, TSPA will not refund their registration fee to reflect the discount. However, an attendee may cancel their registration and re-register at the member rate, if they wish. 

Complimentary Tickets

Complimentary tickets may be provided by TSPA in a variety of circumstances, including discretionary tickets, corporate supporters, and volunteers or vendors. The number of tickets given is at the discretion of TSPA and can be changed at any time. 

Corporate Supporter complimentary tickets are intended for use by the company’s employees. These tickets may not be given away to anyone who is not employed by the company, including clients, friends, colleagues outside of the company. 

Reselling Tickets

Tickets, including complimentary tickets, cannot be resold under any circumstances. If TSPA learns that a ticket was resold, that ticket will be revoked and registration cancelled. The person or company that resold the ticket will no longer receive tickets from TSPA for future events. 

Refunds

Deadlines
Refunds are only allowed before the refund deadline, which is determined based on the conference. After the refund deadline, no refunds are permitted, under any circumstances. 

Refund requests must be submitted via email to TSPA (trustcon-registration@tspa.org for TrustCon and summits@tspa.org for the EMEA or APAC Summits). 

Administrative Fees
All refunds will incur a $100 administrative fee for TrustCon and a $25 administrative fee for Summit registrations. 

Depending on the conference, refunds after a certain date (but before the refund deadline) may incur additional refund fees to make up for costs TSPA has incurred for an attendee (including, but not limited to, food and beverage, printing costs, etc.). As a conference organizer, TSPA must guarantee attendee numbers with our vendors (generally 4-6 weeks before the conference), and we are financially obligated for those attendees regardless of their attendance. 

Refund Terms

  • Refunds will only be processed the same way the payment was received.
    • Credit card refunds will be made to the same credit card that was used to make the purchase.
    • Bank transfer refunds will be made to the same payee and bank that initiated the payment.
  • Currency exchange: Refunds will be made in USD, using the exchange rate the day the refund was made. This can result in the refund being less than what was originally paid, depending on the exchange rate.
  • The refund does not cover any credit card fees, bank fees, or wire transfer fees imposed by the receiver’s bank to receive the funds.
