TSPA is committed to providing a safe and trustworthy environment for open conversations about trust and safety. We recognize that many conversations taking place at our Conferences may be sensitive and difficult to explore candidly, especially among Trust & Safety professionals from different (and, at times, competing) organizations and different disciplines (with sometimes differing opinions and approaches).
To ensure that conversations and sessions at our Conferences can be frank and meaningful to attendees, we expect all in-person and virtual participants (including speakers, sponsors, exhibitors, panelists, and sponsored activities participants) to adhere to the following privacy and confidentiality guidelines while attending a TSPA Conference.

Not everyone attending the Conference may feel comfortable being photographed, recorded, or screen-grabbed (including but not limited to: screen-recording, and/or capturing screenshots of virtual materials including the chat) in any capacity. Additionally, some participants may not consent to having their photos, videos, or social media handles uploaded and/or tagged online.
Best Practice: If you are unsure about a participant’s privacy preferences, always ask for consent first. Additionally, be wary about geotagging social media posts if other participants are tagged in your post or appear in your photos.
Revoking Consent: Attendees retain the right to revoke consent, at any time, for any photos, videos, recordings, screen-grabs, or social media tags, posted online, and may thus request the original poster remove such content. Failure to comply with the removal request is a violation of this Policy.
Lanyard Colors Denoting Privacy Preferences
To ensure that these individuals’ preferences are communicated clearly to fellow attendees, attendees will wear colored lanyards that signal their comfort level at being photographed or recorded. These lanyards will be available at registration and check-in on each day of the event. TSPA staff and volunteers can exchange lanyards with any participant who wishes to change their privacy preferences at any time during the event. Attendees should make sure that their lanyards are visible at all times.
The following denotes the meaning associated with each color lanyard:
- Blue lanyards represent the least restrictive permissions. Participants wearing blue lanyards fully consent to being photographed, recorded, screen-grabbed, and/or tagged online, at the Conference, without further authorization.
- Red lanyards represent the most restrictive permissions. Participants wearing red lanyards signal that they prefer not to be photographed, recorded, or tagged on social media, in any capacity. Please note: attendees wearing red lanyards may have their images recorded by our Conference videographer or photographer as part of a crowd. However, TSPA will make every effort to ensure that attendees wearing red lanyards will not have their clear and visible images posted online. (This may mean that they may be part of a background or crowd shot.)
- Yellow lanyards will be worn by journalists or members of the media. Although TSPA does not invite the media to officially attend and cover our Conferences, journalists may be in attendance as panelists or as fellow attendees and may write about the Conference.
- Orange lanyards will be worn by TSPA staff and Conference volunteers.
Photography and Videography
TSPA may have an official photographer and videographer at the Conference. They have permission to record sessions, activities, and events at the Conference (with the exception of closed sessions). They will abide by the Conference’s Privacy & Confidentiality Guidelines, and avoid recording anyone wearing a red lanyard. (Please note that in crowd shots, this may be unavoidable. TSPA will not post any videos or photos of anyone whose face is visible wearing a red lanyard; however if you are wearing a red lanyard and you see a photo or video of yourself posted, please let us know.)
We do not allow professional recording equipment or unofficial professional photographers or videographers at the Conference, unless we have provided explicit permission. In the rare circumstances in which we allow external professional photographers or videographers to record Conference activities and events, we will provide notice to attendees.
Attendees Taking Photos and Videos, Producing Content
Can I take a photo of myself and my friends/colleagues?
Yes. Review TSPA’s Conference Privacy & Confidentiality Guidelines, and ask for permission before taking photos or videos of others.
Can I share photos and videos I take on social media?
You may post it on personal social media accounts as long as you’ve received permission from the individuals in the photo. During sessions, please note the session preferences, as some presenters do not allow photos or videos taken or their information being shared online.
Can I take photos, videos, recordings at the Conference and of other attendees and use it for my own or my company’s blog, podcast, vlog, etc.?
Provided you have the permission of those in your photos, videos, or recordings, you may use it but you must be authentic about your engagement at the Conference. For example, you can share photos and videos about you being at the Conference, learning about trust and safety, engaging with peers, but you cannot imply that you were a speaker if you were not, or a sponsor if you were not.
In addition, if you are using photos, videos, or recordings of other attendees, they must not only provide consent, you need to tell them what you will use it for (a podcast, a blog post).
My company wants to record our employees’ presentations and interactions at the Conference. Is that okay?
Yes, you can record your employees, but you must follow our Privacy & Confidentiality Guidelines and the guidelines on this page. Professional equipment or professional photographer/videographer is not allowed without explicit permission from TSPA. If you want to record someone who is not your employee, you must get permission and let them know how you plan on sharing the information.
I want to take photos and videos at the Conference and use it to promote my business and/or my brand. Is that okay?
TSPA Conferences are professional conferences for T&S practitioners, and TSPA is a membership association. Neither TSPA, as an organization, nor our Conferences endorse or promote companies, practices, or issues. You cannot use photos or videos you take at the Conference to imply that TSPA or the Conference endorses or validates your business, practices, policies, brand, product, or services.
Conference Session Privacy & Restrictions
We are excited to host so many excellent speakers and presentations at our Conferences. TSPA is committed to providing a safe environment to facilitate these valuable discussions. Not all speakers attending the Conference may feel comfortable having their presentation materials quoted, distributed, or discussed publicly. Some speakers may prefer to only have trust and safety professionals or TSPA members attend their sessions; and some speakers may prefer to not allow press to attend their sessions.
Conference speakers must communicate their confidentiality preferences (or any other restrictions or concerns) to TSPA staff ahead of the speaking event. TSPA staff will communicate speaker preferences to attendees in a variety of ways: the agenda as well as on the door of the session room, and will be reiterated by either the Session Host or speaker. We also encourage Conference speakers to label any presentation materials with appropriate confidentiality restrictions.
Attendees should review the privacy preferences for the sessions they wish to attend.
Session Privacy Preferences
- No Press – These sessions do not allow press to attend. If you are a member of the press, please don’t go to these sessions.
- Members Only – These sessions are only for TSPA members. If you are not a member of TSPA (your name badge will note whether you are or not), please don’t attend these sessions.
- Chatham House Rule – Sessions that are noted with this privacy preference means that attendees in this session may share what is presented or discussed but may not attribute it to the speaker. A more detailed explanation of what Chatham House Rule means can be found here.
- No Video, Photography – When attending these sessions, please do not take videos or photos.
- No Social Media – When attending these sessions, please do not share information from the session on social media.
If there are no session preferences – as indicated by the door signs, announced by the Room Host, or the speaker – attendees can assume no specific restrictions apply to the materials and information presented during the Conference or at any networking event. Please note that members of the press should still follow the media guidelines noted here.
TSPA’s Use of Conference Participant Information
TSPA is committed to safeguarding the personal information of all conference participants. Our philosophy around personal data is to provide as much transparency as we can, provide notice of how your information will be used or is shared, ask for consent in sharing, and offer you a choice in how we share it.
For all attendees of our conferences, during the registration process, we will ask if we can use and/or share your information. You will have the opportunity to let us know how we can use your information, including your contact details such as email and phone number, for different purposes. You can always change your mind by going back into your registration and changing your answers. You can also reach out to us as well. Please note that there may be times in which we have already shared or used your information. If it is within our ability, we will stop using, sharing, or delete your information as applicable.
For speakers at our events, we will publish your name, company, and headshot as part of the conference agenda. If you do not want your name, company or headshot to be shared as part of the conference agenda, you must reach out to TSPA and make the request.
Conference Attendee Lists
If you consented to sharing your contact details with sponsors, exhibitors, and partners during the registration process, TSPA will share your name, email, employer, and title with those groups. If you change your mind, you can revoke your consent by logging in to your registration and changing your answer.
If you consented to sharing your contact details with other attendees during the registration process, your name, email, employer, and title will be added to the attendee list that is accessible in the conference app. Only other registered attendees can access this list in the conference app. You can revoke this consent by going into your registration and changing your answer; we will remove you from the attendee list.
However, please note that once we’ve shared your contact details (generally about 2-3 weeks before the conference), we may be unable to un-share it.
In the conference app, attendees may be able to message you via the app. You can turn off your visibility in the conference app, after which other attendees will not be able to message you. Please note that if you do so, you will not be able to message other attendees.

Attendees’ Use of Conference Participant Information
We encourage conference attendees to be measured and thoughtful when reaching out to fellow attendees. While we welcome networking and connecting at our conferences, we do not allow excessive or unwanted outreach. We define excessive outreach as reaching out to someone more than 3 times or reaching out to someone in a method that is overly invasive such as calling them on their personal phone number or sending mail to their home. (Reminder: TSPA does not share conference attendee phone numbers or home addresses.) Unwanted outreach is defined as when someone has requested not to be contacted.
Other conference attendees may gain access to your attendee information in a number of ways: through the publicly available speakers list from the conference website, through the conference app which has an attendee directory, or through the attendee list that we provide to conference sponsors and exhibitors. (You can always request that your information not be included in those lists or mark yourself as invisible in the conference app.)
TSPA does not provide conference attendee information beyond these methods. However, others (including non-conference attendees) may learn of your participation at our conferences through other means, including yours or others’ posts on social media, general industry lists, and internal company data. TSPA does not have control over outreach by third party individuals or companies to you; however, if you feel that an individual or a company is reaching out to you excessively, you may report it to us.
